GTD with Pocket Informant & Outlook - Yuri German

I usually enter the tasks in to Microsoft Outlook (just for ease of use), and assign it to one of the @categories that I created in Outlook, and in Pocket Informant.

Then I also assigned groups to @categories to make it easier to look at.

Now for Projects:
It is actually more work but it works great! Whenever you are creating an @task that is also a project task make sure you select both categories @task & Project (easily done with PI). Once you have that in there you go to the hierarchical view and then select filter to only show you the Project category. That is how I get the view.

Now for a little more information. When you create a project, I actually create a project under the Task list under projects. This is actually how the GTD Software does it, even though I do not use it anymore, but I have taken some stuff how they do it in software, and how it is in the GTD for Outlook manual.

Once there is a name for the project in your project tasks, I just drag the supporting tasks, or create the supporting tasks under the project so I might have 10 projects with 100 tasks under them, especially after brainstorming, each in its own @category, and also in projects category.

This way when I look at my @categories it is there, and also when I look under projects I have a hierarchical view of the tasks.

This does not end here, as in PI I also assigned Icons to all the @Categories so when I view the tasks (and BTW in case you did not know they can be a few levels deep \, so you can have one task supporting 3 others, each supporting two (example below)), I see that for example some of the tasks are @phone, @computer all from the project (Hierarchical) view.

I hope that makes sense, and when I have some time I will create a manual for it, I do not know if I can release it though (need to Email David Allen) to find out if it would not be violating the copyright.

– PROJECT: WRITE A PI MANUAL (Category: Projects)
——– Get Legal Permissions (Category: Projects - I know this is not true to what is in the book but I like to break it down a bit further)
————— Email David Allen Company to get Permission for release of the status. [category: Projects & @Computer]
————— Email PI team to get permission to make sure that no copyrights are infringed on [category: projects & @Computer]
